Veganuary are committed to protecting your privacy and keeping any personal data you provide to us confidential at all times, in accordance with UK data protection laws.  This Privacy Notice sets out the information processing activities that Veganuary carries out. As such, Veganuary is a Data Controller.

All personal data collected by Veganuary is processed in compliance with the requirements of the UK General Data Protection Regulation, the Privacy and Electronic Communications Regulation 2003 (PECR), and the UK Data Protection Act 2018. Where appropriate, Veganuary will ensure adequate safeguards are in place to uphold your rights and freedoms when data is transferred outside of the UK.

What do we process and why?  
At Veganuary we process some personal data about you in order to provide you with information by email about our campaigns, current recipes, and exciting news. 

What personal data do we need to process to be able to share these emails with you?  
Your name, email, country of residence, and marketing preferences. 

What if I don’t agree to consent to receive our emails?   
If you do not consent, we will not be able to share news and recipes with you. 

What if I change my mind after consenting?  
If you change your mind and no longer wish to receive our emails and for your information to be used in this way, you have the right to withdraw your consent, under the current data protection law.   If so, please click on the ‘unsubscribe’ button shown at the bottom of every email from us or inform the Veganuary team at [email protected].  We will then stop sending you emails once this is processed. 

Children’s data

We care about your privacy, and we want to keep your personal information safe. Personal information is anything that can identify you, like your name, birthday, or address. We only collect and use your personal information when we have a good reason to do so, and when we have your permission or your parents’ permission. If you are under 13 years of age, you need to obtain permission from your parents’ or guardian before sharing your personal information with us.

If you are 13 to 18 years old, we will ask you for your permission, unless we have another good reason to collect or use your personal information. We will always tell you what information we collect, why we collect it, and who we share it with. You have the right to see, change, or delete your personal information at any time. You can also tell us to stop collecting or using your personal information. We will make sure that our website is safe and secure for you to use, and that we do not collect or keep more information than we need. We will not track your location or make guesses about you based on your information, unless you agree to it and we have a good reason to do so.

Personal data processed by Veganuary

Veganuary will only process (use) your personal information if we:

  • have a ‘legitimate interest’ to do so in order to support our charitable purposes. Our use will be fair and balanced and never unduly impact on your rights;
  • have a contract with you that we can only fulfil by using your personal information, e.g. to send you an item that you have requested or purchased;
  • have asked your consent for us to do so;
  • have a legal obligation to use or disclose information about you, e.g. we are required by law to keep records of gifts that are given to us with Gift Aid.

When we process data under the Legitimate Interests basis, we consider how necessary that processing is for us a charity and how that processing might impact you. For example, use of web analytics does not pose any significant risk of harm to you, but it does have demonstrable benefits both for you and for Veganuary, as it enables us to improve your Veganuary website experience in future.

We will inform you if the provision of personal data is a statutory or contractual requirement, or a requirement necessary to enter into a contract with us and of the possible consequences of failure to provide such data.

How we collect information about you

When you use social mediaWhen you interact with us on social media platforms such as Facebook and Twitter we may obtain information about you (for example, when you publicly tag us in an event photo). The information we receive will depend on the privacy preferences you have set on those types of platforms. If you interact with us in this way, we encourage you to read the Privacy Policy of the social media platform(s) you use.
Public informationWe supplement information on potential or current supporters with information from publicly available sources such as corporate websites, public social media accounts, Google and Companies House in order to create a fuller understanding of someone’s interests and support. ChatbotName and email address will be collected and used if you agree for communications and responses to be sent via Chatbot. Any data you supply in the free text fields will be processed by Veganuary in line with this privacy notice

Who we share your information with

Veganuary shares personal data with a number of external organisations.

Partner organisationsWe may share personal data with partner organisations where you have been redirected to the Veganuary website through another non-profit or campaign group we are working with. We will ask if we can share your details with that group, but we will only do so if you grant us your consent.
Print-on-demand supplierWe use a print-on-demand supplier to fulfil orders from the Veganuary online store.
Event companiesWhere you have informed us that you want to participate in challenge events to raise money for Veganuary then we may share your contact details with the event organisers so they can provide you with further information and registration details.
Internet and social media companiesWe upload content to the Veganuary website, Facebook and LinkedIn pages to further our commercial and marketing interests.
Courier companiesWe use courier companies to send items you have ordered via the online store. 
Secure online payment providerWe use a secure online payment provider to process your card and bank details when you donate to us or buy Veganuary merchandise.
HMRCWhere you have made a Gift Aid declaration, we will pass the details to HMRC in order to claim back tax.

We ensure that we have data processing contracts in place with any organisations processing data on our behalf. 

International data transfers

We may transfer personal data to a country outside the UK. Whenever we do this, we will ensure that arrangements are in place to provide suitable safeguards, such as UK Adequacy Regulations, Standard Contractual Clauses, International Data Transfer Agreements, or another mechanism permitted by law. For further information about this, please contact us.

We may also transfer information about you overseas if you have provided your consent for us to do so, such as sharing your personal data back to the partner organisation that referred you to Veganuary. Please note that personal data held by our partners is governed by the data protection laws of the country they are headquartered in, which may not afford the same level of protection as UK data protection law.

How long will we hold information about you?

We only hold information about you for as long as it is needed for the purpose(s) it was collected, or as required by law.

If you have ever made a donation to Veganuary, we will retain information showing your relationship with us, such as your donation history, for the lifetime of the charity. We will also retain information about your relationship with us for the lifetime of the charity if you have pledged to leave us a gift in your Will or enquired about doing so.

If you have never given us a donation or pledged or enquired about leaving a gift in your Will, we will keep information about you for no longer than five years since the last time you interacted with us.

When it is no longer needed, information about you will either be deleted or anonymised.

How and when will you hear from us

We may use your contact details to update you with information about Veganuary activities, our fundraising appeals and other opportunities to support us and to seek your views.

Email
We will only send you marketing and fundraising communications by email if you have provided your prior consent. This does not apply to service communications (see below).

We’ll always ask for your permission to contact you about our products and services in this way, for example:

  • when you make a donation 
  • when you fundraise for us
  • when you purchase an item via the Veganuary online store.

You can opt out of our marketing communications at any time by clicking the “unsubscribe” link in any of our emails or by contacting [email protected]

Service communications
We may send you certain communications, without your consent, if we are under a legal obligation to do so; if we feel sending the communication is in both yours and our interests; and/or it would be a disadvantage to you if we didn’t send you the communication, for example to send you a receipt for your donation. Such communications contain tracking pixels or similar technologies which monitor email-opening rates only.

These communications may include:

  • ‘Thank you’ emails to confirm receipt of your kind donations made to us online.
  • Order confirmations

Your Rights

UK data protection law stipulates that you have ‘Individual Rights’ concerning how information about you is stored and used. To exercise any of your rights detailed below, please email us at [email protected].

You have the right to:

  • Be informed as to how your personal data is used
  • Access the personal data that Veganuary holds about you
  • Have your personal data rectified if it is inaccurate or incomplete
  • Object to the processing of your personal data
  • In certain circumstances, to either have your personal data erased or to restrict the processingof it. Whether or not we completely erase all information about you will depend on the purpose of processing. There may be instances where we may restrict the processing of information about you, but would still need to hold it on record.
  • Obtain and reuse the personal data we hold about you for your own purposes (allowing you to copy or transfer it)
  • Not be subject to a decision based on automated processing or profiling that would produce an adverse legal effect or significantly affect you.

• Withdraw your consent at any time where the lawful basis is consent (e.g. you may opt out of receiving marketing communications at any time by using the ‘unsubscribe’ link at the bottom of our emails).

Use of ‘cookies’

Like many other websites, this website uses cookies. ‘Cookies’ are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit. For example, we use cookies to store your country preference. This helps us to deliver a more personalised service when you browse our website and improves our services.

There are a number of affiliate or partner links on our website. Please note that once you click on an external link on our website, you are taken away from our website where Veganuary are no longer the data controller, and therefore our privacy notice and cookies policy will no longer apply. Third party sites may use their own tracking cookies and will have separate privacy notices.

We do not have any control over the websites of any other organisation outside Veganuary. If you click on a link on our site that takes you to another website, we cannot be held responsible for your privacy when you are on that website.

Similarly, in instances where we have embedded content from third party websites or applications, such as videos from YouTube, Veganuary cannot be held responsible for your privacy or how your data is used when interacting with that content.
